What should an invoice include?
Whatever the country, a professional invoice usually shows: a unique invoice number, the date of issue, your business name and address, your client's name and address, a description of each product or service with its quantity and unit price, the total amount due, the due date and how to pay. In the UK, a VAT-registered business must also show its VAT registration number, the time of supply (tax point) if it differs from the invoice date, the price of each line excluding VAT, the VAT rate and the total VAT charged. Limited companies usually add their registered name and company number. The generator does not check these details for you: use the "Identifiers" field, the payment terms and the notes to add what applies to your business.
Totals, several VAT rates and invoicing without VAT
The subtotal adds up quantity × unit price for every line, then VAT is calculated rate by rate. Example with UK rates: 2 days of consulting at £150 each at 20% and 1 printed book at £80 at 0% (books are zero-rated) give a £380 subtotal, £60 of VAT at 20%, £0 at 0% and a £440 total. If your business is not registered for VAT, for example because your turnover is below the UK registration threshold, you must not charge VAT: tick "No VAT" and keep or edit the wording shown. The rates suggested are the UK VAT rates (20%, 5% and 0%), but you can type any rate, such as a US state sales tax of 8.25%; for a US invoice without sales tax, simply tick "No VAT". Numbering, quotes, payment terms and e-invoicing
Invoice numbers should follow one continuous sequence, with no gaps and no duplicates, for example 2026-001, 2026-002; starting a new series each year is fine if the year is part of the number. A quote states how long the price is guaranteed: that is its "valid until" date. Payment terms of 14 or 30 days are common between businesses; write the terms you agreed with your client and how they should pay you (bank details, payment link). Finally, more and more countries require business-to-business invoices to be sent as structured e-invoices through an official network or platform rather than as a PDF. Check the rules in your country and your client's before relying on a PDF invoice.

How do I invoice as a freelancer who isn't VAT registered?

What's the difference between a quote and an invoice?
A quote is a price offer made before the sale, valid until a given date; once the client accepts it, it usually becomes the basis of the agreement. An invoice is issued after the sale or the work is done and asks for payment.
Is my data sent to a server?
No. The invoice is built in your browser. Your business details and the next number are simply kept in this browser for next time.
How should I number my invoices?
Use one continuous sequence, with no number skipped or reused, for example 2026-001, 2026-002, 2026-003. The "New invoice" button automatically picks up the next number.
