Why send an Excel spreadsheet as a PDF
An Excel file is made to be edited, not read: depending on the software and screen of whoever opens it, columns get cut off, an amount turns into “####” and the print layout is lost. A PDF locks in the result: a quote, a price list, a schedule or a report looks the same everywhere, phones included, and can't be changed by accident. It's also the format most upload portals, banks and government offices ask for. Keep the .xlsx for your calculations and send the PDF to clients, colleagues or teachers.
Fitting a wide spreadsheet on one page
The classic problem with printing from Excel: the last columns spill onto a second page. The “Fit to page width” option scales everything down just enough for all the columns to fit, and the tool shows you the percentage applied. If the text gets too small, switch to landscape: a sideways A4 or Letter page gives you roughly 30 to 40% more width. For a long spreadsheet, “Repeat header row” reprints the first row at the top of every page, so readers always know what each column means. If the workbook defines its own rows to repeat or a print area, they are respected.
